Brief Overview
The Oscar M. Lopez Center is currently looking for a Project Coordinator (Output-based) to help us in the conduct of the Mga Kwento ng Klima Short Films Regional Roadshow. Period of Engagement is from April 2025 to January 2026.
Scope of Work
Project coordination and assistance
- Work closely with the Center’s project team to plan, manage and implement a Center-approved project work plan, budget and schedule, in line with the overall objectives of the project to keep workflow smooth and on track
- Assist and participate in the preparation and conduct of project activities, events and meetings, and propose improvements as necessary
- Evaluate potential problems and technical hitches and develop solutions
- Assist in managing project-related paperwork by ensuring all necessary materials are current, properly filed and stored
- Manage project correspondence and documentation, including the preparation and review of proposals, reports, letters, minutes, etc.
- Ensure project deliverables are in line with the project plan, and if necessary or called for by new developments, propose alternative paths/directions where deliverables may be changed, enhanced, or combined with other outputs, etc., with the concurrence of the Project Team and/or key decision-makers
- Coordinate with internal and external project partners and Center staff, including organizing and coordinating meetings, etc., to ensure alignment and flow of communication and requirements
- Develop and implement Center-approved systems, policies and procedures to ensure smooth implementation
Primarily responsible for the development, organization and management of the Regional Roadshows, facilitating end-to-end program activities.
- Manage the planning, hosting, coordination and execution of all activities, ensuring effective delivery in both online and onsite formats.
- Prepare initial write-ups summarizing key highlights of each roadshow, including photo and short videos.
- Prepare documentation and activity reports for each location per roadshow
- Would be regarded as the one of the point of contact for roadshow related activities and communications
- Be available throughout the the project, particularly for facilitating the roadshows
Admin and Logistics
- Coordinate all logistical aspects (Transportation, accommodation, meals, venue set-up, technical needs)
- Oversee participant management, from selection to onboarding and event participation
- Liaise with vendors, suppliers, and venue teams for seamless event logistics.
- Support onsite logistics, troubleshooting and technical dry-runs.
- Ensure safeguarding, risk assessment and accessibility protocols are in place.
Qualifications
- Bachelor’s degree in a related field.
- 3-5 years of experience in the non-profit and environmental sectors.
- Strong multitasking and problem-solving skills with keen attention to detail.
- Creative, self-motivated, and proactive.
- Ability to manage tasks efficiently, meet deadlines, and work well under pressure.
- Excellent communication and stakeholder coordination skills.
- Proficiency in event management tools and logistics.
- Fluency in local language(s) and proficiency in English for communication and documentation.
- Experience in organizing regional film screenings and festivals is a plus.
- Comfortable with hybrid work (remote preparation and onsite execution).
- Applicants from Visayas, particularly Cebu, will be prioritized.
